This Privacy Policy applies to all information collected through our website (www.newbuffers.com) and any related services, including our contact forms, quote request forms, and job application forms (collectively, the "Services").
1. Information We Collect
We only collect information that you voluntarily provide to us. We do not collect sensitive personal information, and we do not use any invasive tracking or profiling technologies beyond basic analytics.
Contact and Quote Request Forms
When you submit a contact form or request a quote, we collect:

- Phone number (if provided)
- Your message, including project details or service inquiries
Job Application Forms
When you submit a job application through our careers page, we collect:
- Full name, email address, and phone number
- Current location and current company (if provided)
- LinkedIn URL and other professional links (GitHub, portfolio, etc.)
- Resume/CV file upload
- Employment eligibility responses (work authorization, visa sponsorship, relocation preferences, hybrid work preferences)

- Additional information or cover letter (optional)
Voluntary Demographic Survey
Our job application form includes an optional demographic survey (ethnicity, gender identity, LGBTQIA+ community identification). This information is collected solely for Equal Employment Opportunity (EEO) reporting purposes as may be required by federal law. It is entirely voluntary, kept separate from hiring decisions, and will never be used to evaluate your candidacy.
Analytics Data
We use Google Analytics 4 (GA4) to understand how visitors use our website. GA4 automatically collects anonymized and aggregated data such as pages visited, time spent on pages, referring URLs, device type, and general geographic region. This data does not identify you personally. Google Analytics may use cookies to distinguish unique users. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.
2. How We Use Your Information
We use the information we collect for the following purposes only:
- To respond to your inquiries — When you submit a contact form or quote request, we use your information to reply to your message and discuss your project needs.
- To process job applications — When you apply for a position, we use your information to evaluate your candidacy, contact you regarding the application, and maintain records for EEO compliance.
- To send confirmation emails — After you submit a form, we send an automated confirmation to the email address you provided.
- To improve our website — We use anonymized analytics data to understand usage patterns and improve the user experience.
3. We Do Not Sell or Share Your Data
We do not sell, rent, trade, or otherwise share your personal information with any third parties for marketing, advertising, or any other commercial purpose. Your data stays with us, period.
The only third-party services that process data on our behalf are:

- Google SMTP (Gmail) — for sending confirmation emails and delivering form submissions to our team. Email content is transmitted securely via TLS encryption.
4. Cookies
Our website uses minimal cookies. The only cookies set are by Google Analytics for the purpose of distinguishing unique visitors and understanding site usage. We do not use cookies for advertising, retargeting, or tracking across other websites.
You can control cookies through your browser settings. Disabling cookies will not affect your ability to use our website.
5. Data Retention
We retain your personal information only for as long as necessary to fulfill the purposes described in this Privacy Policy:
- Contact and quote inquiries — retained for up to 2 years to maintain business relationship context, then deleted.
- Job applications — retained for up to 2 years to consider you for future opportunities, then deleted. You may request earlier deletion at any time.
- Analytics data — retained per Google Analytics' default retention settings (14 months), after which it is automatically deleted.
Resume files uploaded through our job application form are processed in memory and are not stored permanently on our servers.
6. Data Security
We take reasonable technical and organizational measures to protect your personal information. Our website is served over HTTPS (TLS encryption), and form data is transmitted securely. However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
7. Children's Privacy
Our Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at hi@newbuffers.com and we will promptly delete that information.
8. Your Rights
Depending on your location, you may have certain rights regarding your personal information:

If you are located in the European Economic Area or the United Kingdom, you have additional rights under the General Data Protection Regulation (GDPR), including the right to lodge a complaint with your local data protection supervisory authority. Our lawful basis for processing your data is either your consent (form submissions) or our legitimate business interest (analytics).
9. Do-Not-Track Signals
Some browsers include a "Do Not Track" (DNT) feature. There is currently no uniform standard for how websites should respond to DNT signals. As such, we do not currently respond to DNT browser signals. If a standard is adopted in the future, we will update this Privacy Policy accordingly.

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. The updated version will be indicated by the "Last Updated" date at the top of this page. We encourage you to review this page periodically.
